You hold your own QuickBooks Online subscription
Every bookkeeping package requires an active QuickBooks Online subscription in your business name. You hold that subscription and pay Intuit directly for it. It is not included in the package prices, and we do not resell it. You give us access by inviting us as a user from inside QuickBooks, so we never hold your password and you can remove our access yourself at any time.
Volume sets the package
Every package buys the same monthly work. The price is set by the number of connected accounts and the monthly transaction volume, and by nothing else. If your volume changes, we tell you before the price does.
Complex books are adjusted by hand
Volume is not the only thing that sets a price. Books that carry more work per transaction, or that need technical treatment a transaction count cannot show, are adjusted by hand after a consultation rather than taken from the table. We confirm your exact price before any work begins, and we do not change it without telling you first.
Month to month, with thirty days notice
Bookkeeping runs month to month. Either of us can end it with thirty days' written notice, and prices can change on the same notice if your volume or scope does. The full terms are published, and you can read them before you commit.
We take bookkeeping clients across the United States, online or in person. Our monthly reports are prepared for your internal management use only. We do not audit, review, compile, or verify your records, and no assurance of any kind is provided on the reports we deliver. We are not a CPA firm.
Catch-up and cleanup of earlier periods is quoted separately and agreed before it starts. Our office does not run payroll. Compare all four side by side, including what no package covers.
Included every month
The same work at every price
- Every transaction categorized each month
- Each connected account reconciled to its statement
- A profit and loss statement and a balance sheet, monthly and year to date
- A short list of anything we could not identify, sent to you rather than guessed at
- A plain summary of anything worth your attention
- Statements filed in your client portal, so prior months are always there
- Books closed each month once you have answered the open questions

Four packages, one service. They differ only in how many accounts they cover and how much moves through them, and books that need more work per transaction than a count can show are adjusted by hand after a consultation.

Every package, same cycle
Closed each month, and it stays closed
Early in the month we pull the previous month's activity, categorize it, and reconcile every account to its statement. Anything we cannot identify comes to you as a short question list rather than a guess.
Bookkeeping is the part of a small business that gets pushed to the weekend and then to next month. We take it off your calendar entirely, and we keep it current rather than reconstructing a year of it every spring. Plans start at $150 a month and are set by how many accounts you run and how many transactions move through them.
The monthly cycle
Each month follows the same routine, so you always know where things stand. Early in the month we pull the previous month’s bank, credit card, and merchant activity. We categorize every transaction, match deposits to income, and code expenses to accounts that will still make sense at tax time. We reconcile each account to its statement, which is the step that catches duplicate charges, missed deposits, and transfers recorded twice.
Anything we cannot identify goes on a short question list, usually a handful of items, and we send it to you rather than guessing. Once you answer, we close the month and it stays closed.
What you receive each month
A profit and loss statement and a balance sheet, for the month and for the year to date, a reconciliation confirmation for each account, and a plain summary of anything worth your attention, such as a category that jumped, a customer who has not paid, or a cash position that is tightening. Everything lands in your client portal, so prior months are always available without asking. If a bank or a lender wants statements, they are already prepared.
Catch-up and cleanup work
Most businesses come to us behind rather than current, and that is normal. Catch-up work brings a set of books forward from wherever they stopped to the present month. Cleanup work corrects books that exist but do not reconcile, usually because transactions were miscategorized, an account was never connected, or an earlier balance was forced to match.
We scope this before we start it, not while we are in the middle of it. We look at how many months are open, how many accounts are involved, the monthly transaction volume, and the condition of what is already recorded. From that you get a fixed scope and a price to bring the books current, quoted separately from the monthly price. Once the catch-up is finished you move onto the normal monthly cycle. Two things make it faster and cheaper: complete bank and credit card statements for the whole period, and one person we can ask about the unusual transactions.
How current books change your return
A business return prepared from clean, reconciled books is a different job from one prepared from a folder of receipts and a spreadsheet. When the books are current, the income and expense figures on Schedule C, Form 1065, or Form 1120-S come straight from statements that already tie to the bank, so preparation time drops and the return goes out early instead of on extension.
Depreciation on Form 4562 is straightforward, because asset purchases were coded correctly when they happened rather than reconstructed a year later. Deductions get missed less often, because the expense was recorded in the month it occurred instead of remembered in March. Clients whose books we keep generally pay less for their business return and get it back faster.
What we do not do
Our office does not run payroll. We do not process pay runs, file payroll tax returns, or issue year-end wage statements. If you have employees or expect to hire, tell us and we will point you toward a payroll provider, then take their monthly reports into your books so the two systems agree.
If you collect sales tax, ask us about including Form E-500 in your monthly cycle, with Form E-536 where you collect in more than one county.
Getting started
From the button to your first closed month
Each step runs on its own rather than waiting on our office, but none of it is instant. You will read the engagement letter before anything begins, and a short call agrees your first month.
- 1You create your portal accountName, email, and a password. It takes a minute and you do it yourself, without waiting for us to set anything up.
- 2Your agreement and price arriveIt lists the package you chose and the monthly price, with the full terms attached. Read it before you agree to anything.
- 3You sign and authorize the monthly paymentSigning it is what starts the service and sets up the monthly payment, exactly as the terms describe.
- 4You give us access to your booksYou invite us into your QuickBooks Online account as a user from within QuickBooks. We never ask for your QuickBooks password, and you can remove our access yourself at any time.
- 5We agree your first month and startA short onboarding call confirms which accounts are in scope and which month we close first. After that the cycle runs monthly.
Bookkeeping across the Charlotte area
The monthly work is the same wherever you are. What changes is the county: the annual business personal property listing is run county by county, and the rules genuinely differ. Each page below covers the one that applies to you.
